FAQ - Task Management

Can project and task numbers be auto-generated? Can I create sub-tasks? Is there any possibility to attach files to a particular task (ie. Word docs, pdf, jpg, gif, etc.)? What is a reviewer? Can I set task dependencies? I’m trying to delete a task, but I’m getting error messages telling me that I can’t. Why?

 
Q Can project and task numbers be auto-generated?
A

Task numbers are generated automatically. The "Next Task Number", which is set in the "Edit Project Information" page, is the number the next task to be created within the project will be given. This number is incremented automatically every time a new task is created. However, project numbers cannot be auto-generated because they can contain letters. Every time a project is created, its number must be entered manually. Project numbers can contain alphanumeric characters (letters or numbers).


Q Can I create sub-tasks?
A

AceProject has no sub-task feature at this moment. However, there are many ways to simulate simulate them. For example:

  • You can use decimal task numbers to group tasks (ex: 1.1, 1.2, 1.3)

  • You can use "Task groups" and "Task Types" to categorize tasks within a project.

  • Major tasks could be set as projects, and sub-tasks as tasks.


Q Is there any possibility to attach files to a particular task (ie. Word docs, pdf, jpg, gif, etc.)?
A

Yes. AceProject allows files such as screenshots, images and text documents to be attached to tasks. The attached files provide users with a better description of the specific task. There are no restrictions for file types. Here's the procedure to attach a file to a task:

  1. Open a task.

  2. Click the "File Attachment" Tab. Click the "Browse..." button to reach the file. You can also include a comment and a version number along with the file.

  3. Click the "Upload File" button to upload the document to our servers.

 



Q What is a reviewer?
A

When a task is created, it is usually assigned to one or multiple user(s) to execute it. Once the user(s) has finished the task, a team leader or a manager can be asked to review/verify the work done to make sure it has been done correctly. This is when the reviewer comes in.



Q Can I set task dependencies?
A

Yes. AceProject has a task dependency feature. The "Finish-To-Start" dependency type is the only one supported at this moment. This means that a task can only start when its predecessor is completed. Moveover, lag time can be set along with the dependency in order to respect constraints.


Q I’m trying to delete a task, but I’m getting error messages telling me that I can’t. Why?
A

Before deleting a task, you must first delete:

  • Its file attachments
  • Any time sheet that refers to the task
  • Any dependency that is linked to another task
HINT: You can set a task's status to completed instead of deleting it.
