Contextual Help - File Attachments Tab (Edit Task Information)
The File Attachments tab is used to add files to a task. Attachments can be documents, screen captures or any other file format. 

This window has 2 parts: a title bar and the navigation tabs.  

  • The title bar tells you where you are in AceProject. At the end of the title bar you will find links to the contextual help, to add a new task, to open or close an IN/OUT work item, to move/copy a task, and to a printer-friendly version of the page.  
  • The Task tab displays the main task information.
  • The Assignment tab shows which users are assigned or reviewers on the task.
  • The File Attachments tab shows all files that are attached to this task. Attachments can be documents, screen captures or any other file format. 
    • The first row displays the project name and number to which this task belongs.
    • Click on the open icon () to open it in a separate window. 
    • Click on the floppy disk icon () to download and save the file to your computer.
    • To change the file's state, click on the padlock icon ().
    • To delete a file, check the box next to the file, then click on "Delete checked item(s)". 
    • To return to the previous page, click the "Back" button.
    • To Attach a file, fill out the "Attach a file" group
      •  Click the "Browse..." button to reach your file. If you know the location of your file, you can type it directly in the "Path" field.
      • You can enter a description for this file.
      • The "Version" field is used to keep track of different iterations of the same file.
        • If two identical files have different versions, AceProject will treat them as separate items.
        • To overwrite a file, use the same file name and version.
        • If the file is unlocked, uploading it with the same version will overwrite the existing file on the server.
      • Files can be locked or unlocked by a user. Locking a file ensures no one will makes changes to it except the person who has locked the file and the Administrator. Leave the file unlocked if you don't plan to modify it.
        • You cannot upload a file that is already on the server and locked. You need to unlock the file on the server first, then upload it from your computer to the server.
      • You can use the "Multiple File Upload" drop down menu if you want to upload more than one file at a time. You can upload up to 15 files simultaneously.
      • Click the "Upload File" to send the file(s) on the server, or click the down arrow to expand a drop-down list that will let you perform the following actions:
        • "Upload File(s) + Edit Task" lets you save your changes and reach the "Task" tab.
        • "Upload File(s) + Assign Users" lets you save your changes and reach the "Assignment" tab.
        • "Upload File(s) + Set Dependencies" lets you save your changes and reach the "Dependencies" tab.
        • "Upload File(s) + View History" lets you save your changes and reach the "History Trail" tab.
        • "Upload File(s) + Go to Previous Task" lets you save your changes and open the previous task in the list.
        • "Upload File(s) + Go to Next Task" lets you save your changes and open the next task in the list.
    • Check the "Do not send email notification" box to avoid sending an email if the update does not warrant it.
    • Whenever a change is made to the attached files, the task's Last Update field will be adjusted accordingly.
  • The Dependencies tab displays all relationships between this task and other tasks in that project.
  • The History Trail tab displays all changes that have been performed on the task since it's been created.
  • The Prev. Task link lets you open the previous task in the list.
  • The Next Task link lets you open the next task in the list.

What is a file attachment?
Attachments can be documents, screen captures or any other file format. File attachments are associated with a specific task.

How do I add a file attachment?
Click the "Upload File" to send the file(s) on the server, or click the down arrow to expand a drop-down list that will let you perform the following actions:

  • "Upload File(s) + Edit Task" lets you save your changes and reach the "Task" tab.
  • "Upload File(s) + Assign Users" lets you save your changes and reach the "Assignment" tab.
  • "Upload File(s) + Set Dependencies" lets you save your changes and reach the "Dependencies" tab.
  • "Upload File(s) + View History" lets you save your changes and reach the "History Trail" tab.
  • "Upload File(s) + Go to Previous Task" lets you save your changes and open the previous task in the list.
  • "Upload File(s) + Go to Next Task" lets you save your changes and open the next task in the list.

How do I change/update a file attachment?
To update a file attachment, attach a file with the same name
and version to this task. The file must be unlocked before it can delete overwritten. Only Administrators can overwrite locked files.

How do I delete a file attachment?
To delete a file, check the box next to the file, then click on "Delete checked item(s)". Only Administrators can delete locked files. For all other users, the file must be unlocked before they can delete it.

Can I upload more than one file at a time?
Yes. You can use the "Multiple File Upload" drop-down list if you want to upload more than one file at a time. You can upload up to 15 files simultaneously.
