The Weekly Time Sheet window
is where you input your worked hours for all assigned projects.
This window
has 4 parts: the title
bar, the Global Approval Status, the Work Items table and
the Comments and Approval Request table.
- The
title bar tells you where you are in AceProject. At the end of the title bar you will find the
link to contextual help
as well as the link to add a new week.
- The Global Approval Status
provides a summary of the approval for the current time sheet.
- The Work Items table shows
detailed information on your work items: each work item is
described, along with its approval status.
- All hours entered for a
specific task are cross-referenced so that you know how many hours
were put in for a task.
- You can add work items for all your
projects in the same time sheet, thus no need to create multiple
time sheets for each project.
- Add a new work item by choosing a
project and clicking on
"Add a New Work Item".
- Click on any task
number for open this task.
- If there is a file icon next to the task summary (
),
this means there are file(s) attached to the task. Click on
the file number to open the task's file attachment tab.
- If there is a clock icon next to the task summary (
),
this means you have an IN/OUT item active for this task.
Click the clock to edit your counter.
- If there is a dependency icon next to the task
summary (
,
or
) this means that the task is linked
with other
tasks.
- Click on any time status to open this work
item.
- Once a
work item is approved, it cannot be edited or deleted afterwards.
- Note that administrators can delete their own
approved work items.
- Finally, the Comments and Approval Request table
is used to send a customized message to your project manager when
notifying him/her that your time sheet is ready for approval.
- Simply
type in your comments and message, choose your project manager in the
drop-down list and click
"Update".
- The users who are allowed to approve time
sheets are the following: Administrators, and normal users who are
granted the "Project Manager" or the "Time Approval" access rights in
projects that are included in the week you are actually sending for
approval.
- To remove the
actual week, click the
"Delete"
button.
- A week that
contains approved work items cannot be deleted.
However, new work items can be created in a week that contains
approved work items.
- Note that administrators can delete their own
weeks, even if they contain approved work items.
- Note that project managers can delete their
own approved work items.
- To return
to the weekly time sheets page, click
"Back to Weekly time
Sheets".
What do the time statuses mean?
Time sheets can be In progress, Submitted, Approved or Rejected:
- In Progress means you have not submitted it for approval.
- Submitted means your time sheet has not been approved or
rejected, it is waiting to be processed.
- Approved means your
time has been accepted.
- Rejected means your hours were not
accepted.
How
do I add a work item?
You can add a new work item by choosing a project and clicking
on "Add a New Work Item". You do not need to create separate
weekly time sheets for each project.
Where does the
project list come from?
The list of projects
corresponds to all incomplete projects to which you are assigned.
If you are an administrator, the list will contain all incomplete
projects.
How
do I change a work item?
To make changes to a work item, click on its time status. You will
be redirected to the Edit Work Item Information page, where you
can make your changes. You cannot make changes to a work item that
has been approved except if you are an administrator or a project
manager.
How
do I enter my time for another project?
You can add a time for a different project by choosing it from
the Select the Project drop-down list and clicking on
"Add a New
Work Item". You do not need to create separate weekly time sheet
for each project.
How
do I get my time sheet approved?
You can request approval from your project managers or person
in charge of time approval directly
in the Weekly Time Sheet.

In the Approval Request table,
choose the manager to whom you want to send your request in the
Send to Project Manager drop-down list.

send an email notification to your manager.

do I delete a week?
To remove the actual week, click the
"Delete"
button. A week that contains approved work items cannot be deleted.
However, new work items can be created in a week that contains
approved work items. Note that administrators can delete their own
weeks, even if they contain approved work items.
How
do I delete a work item?
To delete a work item, click on the work item's time status. You will
be redirected to the "Edit Work Item Information" window, where you
can click the "Delete" button.
Once a
work item is approved, it cannot be edited or deleted afterwards.
Note that administrators and project managers can
delete their own approved work items.
