The task reminder is a daily e-mail sent out to each active user that lists “Overdue”, “Soon Due” and “To Start Soon” tasks that are assigned to the user.

Tasks that will appear in each category of the daily e-mail depend on 2 parameters you may set under  Administration => Account > Edit Account , in the “Task Reminder” section. These 2 parameters are the Reminder Frequency and the Day(s) value.

The default value for the Reminder Frequency is “One e-mail per day” and we suggest you not change this setting. The “One e-mail per day” frequency ensures a task will appear in the task reminder on each day it is considered “soon due”, “overdue” or “to start soon” rather than just on a single day. Here are examples as to how the “To Start Soon”, “Soon due” and “Overdue” reminders work:

1. To Start Soon reminder with Reminder Frequency set to “One e-mail per day” and Day(s) set to 3: If an assigned task has an Estimated Start Date that is 3 days away or less and it is still in a “Waiting” status, it will be captured and listed in the Task Reminder daily e-mail.

2. Soon Due reminder with Reminder Frequency set to “One e-mail per day” and Day(s) set to 3: If an assigned incomplete task has an Estimated End Date that is 3 days away or less, it will be captured and listed in the Task Reminder daily e-mail.

2. Overdue reminder with Reminder Frequency set to “One e-mail per day” and Day(s) set to 5: If the Estimated End Date of an assigned incomplete task has been passed by 5 days or less, it will be captured and listed in the Task Reminder daily e-mail. Hence, if you do not want to lose track of long overdue tasks, you should set the Day(s) parameter to a hefty number.

If, on any given day, a user does not have any soon due or overdue task, no task reminder e-mail will be sent at all.
